# Frequently asked questions

Short answers to common questions, with links to the guides that explain each topic in full.

## Getting started

### How much does Graphit cost? Is there a free trial?

Plans, prices, and the current trial offer are on the [Graphit pricing page](https://graphit.io/#pricing). To see Graphit with your own data first, [contact the Graphit team](https://graphit.io/contact) for a walkthrough.

Your plan sets limits such as the number of campuses, dashboards, and metrics. Graphit warns you as you approach a limit. See [Plan limits and usage](./workspace-settings.md#plan-limits-and-usage).

### Do I need Rock or Planning Center to use Graphit?

No. You can define metrics and record values with [data-entry forms](./data-entry.md). Connecting a church management system brings in the numbers it already keeps, so your team does not have to enter them twice.

### Should I connect Rock or Planning Center?

Connect the system your church uses as its main database.

| | Rock RMS | Planning Center |
| --- | --- | --- |
| How it connects | The free Graphit plugin, installed from the Rock Shop, then browser authorization. | Sign in to Planning Center and allow access. Nothing to install. |
| What Graphit reads | Metrics you already keep in Rock, plus standard measurements Graphit can create there for you. | Check-ins, headcounts, groups, People lists, giving, and scheduled volunteers. |
| Breakdowns | Campus, service time, and other partitions from your Rock metrics. | Giving by campus and headcounts by service time; other guided measurements are organization-wide. |
| Show Graphit in your system | Embed dashboards, reports, widgets, and data-entry forms on Rock pages. | Not available. |

Start with [Graphit for RockRMS](./rockrms.md) or [Connect Planning Center](./integrations-planning-center.md).

### Which versions of Rock are supported?

The Graphit plugin supports Rock 17.2 and later. The current release is tested on Rock 17.2, 18.2, and 19.1. The Rock Shop listing shows each release's required Rock version. See [Graphit for RockRMS](./rockrms.md#before-you-begin).

## Data and security

### Is my data safe?

Graphit connects to Rock and Planning Center through authorizations that an administrator approves. The Rock plugin stores its access tokens encrypted, and disconnecting Rock revokes them immediately. Inside Graphit, each person sees only what their role, campus access, and [metric audiences](./metrics.md#control-who-can-see-a-metric) allow. The [security page](https://graphit.io/security) and [privacy policy](https://graphit.io/privacy) describe how Graphit protects and handles data.

### What data leaves Rock?

The Graphit plugin is designed to send as little as possible:

- **Sent:** measurement values and counts, with their dates, campuses, and breakdowns. To count each person only once, some sources also send Rock's internal person IDs. These IDs are pseudonymous: they identify a person only within your Rock.
- **Never sent:** names, email addresses, phone numbers, postal addresses, birth dates, ages, genders, photos, and individual gift amounts.
- **Stays in Rock:** your metric SQL and Lava. Graphit receives only a fingerprint to detect changes.

The one exception is an embedded data-entry form. So that each entry is attributed to the right person, the form tells Graphit which signed-in Rock person made it, including their name and email.

Graphit reads Rock with the permissions of the administrator who connected it. Uninstalling the plugin removes its tables, settings, and admin page; metrics Graphit created stay in Rock as your data.

### Can I keep some numbers confidential?

Yes. Owners and administrators can restrict a category or metric to selected roles and people. Everyone else does not see those metrics anywhere in Graphit, and dashboards show a **Restricted** placeholder in their place. See [Control who can see a metric](./metrics.md#control-who-can-see-a-metric).

### Who can see what?

| Role | Can |
| --- | --- |
| **Viewer** | View dashboards and reports and apply filters. |
| **Editor** | Also create dashboards and charts, record data, and schedule reports. |
| **Administrator** | Also manage users, roles, data sources, and confidential metrics. |
| **Owner** | Full control, including billing. |

Campus access, dashboard page restrictions, and metric audiences can narrow what a person sees. Public links and embeds show what the person who created them can see. Rock's own security does not carry over into Graphit. See [Workspace settings](./workspace-settings.md#manage-people-and-sign-in).

## Syncing

### How often does data sync?

| Source | How often |
| --- | --- |
| Rock metrics | Graphit checks for new values every hour. Standard measurements that Graphit creates in Rock are recalculated by Rock weekly, early on Monday. |
| Planning Center, guided setup | Every morning at 6 a.m. in your organization's timezone. |
| Planning Center, sources you add | Daily at 6 a.m. or hourly, as you choose. |
| Data-entry forms | Immediately when saved. |

Use **Sync now** on a connection or source to import available values without waiting. Weekly briefs are sent on the day and time set under **Settings → AI assistant**.

### Why is a Rock attendance number lower than our attendance?

Graphit's standard attendance measurements count check-ins, not headcounts. People who are not checked in, often adults in the main service, are not counted. Record adult services with a headcount metric alongside. See [What the standard measurements count](./integrations-rock.md#what-the-standard-measurements-count).

## Account and billing

### How do I get help?

Email [support@graphit.io](mailto:support@graphit.io) with your organization name and a short description of what you see. The [contact page](https://graphit.io/contact) lists other ways to reach the team. Before writing, [Troubleshooting](./troubleshooting.md) covers the most common problems and what to include in a report.

### How do I remove someone who has left?

An owner opens **Settings → Users & roles**, chooses the person's **Actions**, and selects **Remove from workspace**. The reports, dashboards, folders, and forms they own pass to the owner who removes them, so nothing they built is lost. To stop someone signing in without removing them, choose **Deactivate**. See [When someone leaves](./workspace-settings.md#when-someone-leaves).

### How do I cancel?

The organization's owner opens **Settings → Subscription & billing** and chooses **Manage billing**. Cancellation takes effect at the end of the current billing period. Graphit shows the date your subscription will end.

### What happens to our data if we cancel?

Your dashboards and history are kept, but you cannot add or change data until you choose a plan again. To have your account and data deleted, contact [privacy@graphit.io](mailto:privacy@graphit.io).

### Can I export our data?

Yes. Any report can be exported as Excel, CSV, or PDF from its **Export** menu, and report widgets on dashboards can be downloaded as Excel. Build a report with the metrics, date range, and row groups you need, then export it. Metrics Graphit created in Rock stay in Rock. For a broader export, contact [support@graphit.io](mailto:support@graphit.io) before cancelling.
